Job Title: Export Documentation Officer

Basic Functions
To ensure that all Export Shipping Documents are accurately completed and dispatched on time in accordance to statutory/regulatory requirements of the exporting/ importing country.
Main Duties:
- To prepare Export Shipping Documents for all shipped-out confirmed orders;
- To collect 3rd party documents from the process owners as required by the customers. (Process owners are accountable for the accuracy of these documents);
- To collect original copy of the Export Bill of Lading (BL) from the Shipping Lines.
- To closely coordinate with Logistics, Nominated Shipping Lines and Negotiating banks:
- Constant communication/ coordination to eliminate errors/delays and ensure smooth/gentle transactions.
- To review complete set of Export Shipping Documents – should conform to customer’s requirement and MUST be in accordance to the statutory/regulatory requirements of the importing/exporting countries.
- To ensure that all required documents are presented to the bank and / or emailed to the buyers on time (TT, CAD, LC).
- To dispatch original shipping documents upon confirmation of Finance for the payment remittance of the buyer.
- To notify the customer/agent for the courier details of Export Shipping Documents.
- To collaborate closely to Finance in monitoring the status of payment remittance of the customer before dispatching the complete set of original Shipping Documents.
- To upload Export Sales Register everytime there is shipment for Accounts’ monitoring.
- To submit copy of the Commercial Invoice to Accounts.
- Other functions and responsibilities assigned by superior from time to time.
- In the absence of the Export Documentation Officer, the Export Shipping Officer will take over the duties and responsibilities temporarily with collaboration to Export Sales Officer, Export Traffic Officer & Export Shipping Officer.
- Shall work in accordance with the established health & safety program of the department and of the company such as wearing of the prescribed PPE, obey and respect warnings & signages and other relevant safety measures.
- Shall proactively report unsafe conditions and practices to the immediate superior by making suggestions or removal of accident hazards.
- Shall actively participate in the health and safety programs of the company.
- Performs other related jobs assigned by the superior.
Qualifications:
- A graduate of Marketing/Accounting/ or any 4 (four year) related course.
- Male; 28 years old to 50 years old.
- Single or Married
